We’re looking for a dynamic, proactive, and resourceful Personal Assistant to join our team to be the driving force behind smooth operations and vital support for our Director of Facilities and Engineering.
You’ll be shifting priorities with calm efficiency whilst managing a busy diary and building a network of strong relationships across the company to make things happen. About the Role
You will provide seamless administrative and operational support and develop a deep understanding of the organisation to ensure a smooth-running office, handling everything from scheduling and travel to tackling special projects with finesse and flair.
In this role you will be responsible for:
- Comprehensive diary management: meticulously manage complex calendar, scheduling both internal and external meetings, travel and appointments, building flexibility into the diary, effectively prioritising and anticipating needs.
- Acting as primary point of contact for all incoming communication including telephone and email enquiries. Screen and direct them appropriately, managing independently where possible.
- Meeting and greeting external visitors ensuring rooms are set up, guests are welcomed, and meetings run to time.
- Managing and organising administration for the Director and the Business Unit; preparing agendas, packs, reports and other documents to ensure the Directors time is maximised.
- Completing any project and research work as required.
- Note taking in meetings and distributing actions as and when required.
- Ensuring there is sufficient stationary and/or office supplies within the Business Unit.
About You
You’ll have proven PA experience working with senior management. Your skillset is more important to us than the industry you have worked in.
You will also have:
- Proven experience in a similar role, ideally supporting a senior executive within a large complex organisation.
- Exceptional multi-tasking and prioritising abilities to meet deadlines without exceeding budgets.
- Excellent working knowledge of and proficiency with Microsoft Outlook, Word, Excel, PowerPoint and Visio.
- A diplomatic and confidence inspiring manner.
- Engaging and incisive communication skills.
- Flexibility to manage change and provide seamless support.
- Impeccable attention to detail.
