Our Private Shopping team is now looking for a Concierge Administrator to provide seamless and proactive support across our expanding Concierge operation. This is a rare opportunity to be part of a world-class service, helping to deliver once-in-a-lifetime experiences to Harrods’ most loyal and discerning clients. 

 

About the Role 

As a Concierge Administrator, you’ll play a vital behind-the-scenes role in ensuring the smooth and timely delivery of bespoke lifestyle requests – from luxury travel and fine dining to exclusive events and beyond. You’ll work closely with the Concierge Assistants and Executives to coordinate bookings, manage logistics, and handle supplier communications with professionalism and precision. 

Thanks to a huge redevelopment, the Private Shopping team has grown fast – and this role will help elevate our service even further. Whether liaising with hotels, finalising payment processes, or updating internal tracking systems, your attention to detail and organisational skills will ensure every client experience exceeds expectations.

 

Key responsibilities include: 

  • Supporting the fulfilment of bespoke client requests by coordinating logistics and supplier communications 

  • Preparing client-facing documents and email communications for lifestyle bookings 

  • Managing and reconciling payments, POs, and corporate card statements 

  • Creating and maintaining administrative filing systems in line with compliance requirements 

  • Monitoring supplier responses and ensuring delivery timelines are met 

  • Handling day-to-day requests from across the team and maintaining up-to-date tracking tools 

  • Communicating clearly and professionally with internal teams, external partners, and clients 

  • Proactively seeking ways to improve administrative processes for a seamless operation 

This is an on-site role based in our Knightsbridge store. Flexibility and a solution-focused mindset are essential. 

 

About You 

You’ll be a natural organiser and trusted team player with excellent attention to detail. With a strong sense of initiative, you’ll thrive in a fast-paced, client-first environment, taking pride in supporting exceptional experiences behind the scenes. 

You will: 

  • Be highly self-motivated, proactive, and able to manage multiple priorities calmly and efficiently 

  • Have excellent communication skills and a polished, professional approach to external interactions 

  • Be confident using Microsoft Excel and the full Microsoft Office suite 

  • Bring a detail-orientated mindset with strong time management and organisational skills 

  • Work well under pressure and react quickly to changing circumstances and urgent requests 

  • Be comfortable handling sensitive client information and upholding the highest standards of discretion 

  • Be flexible, dependable, and eager to contribute to a collaborative and ambitious team
