We are recruiting for an Administrator within our exciting Fine Watches division.

The purpose of the role is to maintain the smooth running of all retail operations processes within Fine Watches, as well as supporting the central vault team with accurate recording of inbound and outbound stock flow. This will include tracking of online sales, internal photoshoot requests, and ordering boutique supplies.

The Fine Watches Administrator is also responsible for overseeing client operations, acting as the first point of contact for enquiries through the Fine Watch Inbox, and managing email response times in line with business expectations.

Some of the principal accountabilities for the role will be as follows:

Retail Administration:

  • Manage the Fine Watch Inbox, ensuring SLA is met
  • Coordinate all resulting client communication thereafter, allocating the relevant timepiece and/or salesperson
  • Ensure SOP documents are regularly reviewed, updated, signed, and adhered to by the Fine Watches team
  • Order and maintain levels of all office and boutique supplies including client refreshments
  • Collation of required information to facilitate approval/rejection of One-Off Purchase requests
  • Arrange couriers, contractor passes, and event set-up where required
  • Support the Retail Management Team with maintenance of the Tudor Harrods edition allocation process

Stock Administration:

  • Liaise with boutiques and the Buying teams to manage warranty and guarantee replacement
  • Liaise with the vault team regarding deliveries
  • Maintain the Online Sales Tracker, escalating any damages to the Assistant Operations Manager
  • Pick and prepare pieces required for photoshoots along with accurate paperwork
  • Support with maintenance of the client Special Order Tracker in Luxury Jewellery
  • Support with shopfloor replenishment, receiving deliveries, and maintaining filing systems in the absence of the Stock Controller
  • Support the Assistant Operations Manager with management of internal FOC process and parts ordering for the Watchmakers Workshop
  • Assist with stock related and ad hoc projects as required

Other Requirements:

  • Attend briefing meetings & training sessions as requested
  • Demonstrate flexibility with regard to hours and days of work in line with business needs
  • To carry out any reasonable request made by the Operations Management Team
  • Maintain uniform standards in line with departmental requirements
  • Be aware of daily tasks, stocktake schedules and peak trade to direct resource accordingly, ensuring deadlines are met.

About you

As an independent and self-motivated individual, you will have excellent organisational skills and administrative experience. To be considered for this position, you will also need the following:

  • Excellent working knowledge of Microsoft Outlook, Word, Excel and PowerPoint
  • Excellent time-management skills, and the ability to multi-task in accordance with changing priorities throughout the working day
  • Attention to detail whilst working under tight deadlines
  • Confident communicator, who is comfortable to converse and raising issues with Senior Managers and internal stakeholders
